Your privacy is important to us. The Tasmanian Convention Bureau Limited (trading as Business Events Tasmania) (BET, we, us, or our) complies with relevant privacy legislation when dealing with the collection, use, storage and disclosure of your      information.

If you’re a citizen or resident of the European Economic Area, the General Data Protection Regulation (EU) 2016/679 (“GDPR”) will apply to your personal data.
If you’re a citizen of Australia, New Zealand or any other country, the Privacy Act 1988 (Cth) will apply to your personal information.

By providing personal information (or personal data) (both referred to as “information”) to us, you consent to the collection, use, storage and disclosure of your information in accordance with this Privacy Policy and any other arrangements between us.

This Policy sets out how we will collect, use, disclose and protect your information.

This Policy does not limit or exclude any of your rights under the relevant legislation.

Changes to this Policy

We may change this Policy by uploading a revised policy onto the website.  Where there are more substantive changes to the Policy, we’ll send you an email. The change will apply from the date that we upload the revised policy.

What is personal information?
Personal information is information or data where your identity is reasonably ascertainable. It’s a broad definition and may include information such as your name, email address, photos, videos as some examples. If you’re in the European Economic Area, this will include ‘personal data’ as defined under the GDPR.

The type of information we collect
If you’re a client or interested in learning more about BET, we may collect information such as:

  • Name
  • Email
  • Phone number
  • Company you work for / represent

Once engaged with us, we may also seek additional information including but not limited to:

  • Images, videos and quotes
  • Your location and address
  • Gender
  • Emergency contact details

If through this process, you provide us with third party information, you warrant to us that you have that person’s consent to disclose their information to us, and that your use and disclosure of the information to us is in accordance with the relevant law.

Who do we collect your personal information from

We collect personal information about you from:

  • you, when you provide that personal information to us, including via the website and any related service, through any registration or subscription process, through any contact with us (e.g. telephone call or email), or when you buy or use our services and products.
  • third parties where you have authorised this or the information is publicly available.

If possible, we will collect personal information from you directly.

How we use your personal information

General uses:
We will use your personal information:

  • to provide services and products to you;
  • to market our services to you, including contacting you electronically (e.g. by text or email for this purpose). We will ensure that any communications are in accordance with the Australian Spam Act 2003 (Cth) and Privacy Act 1988 (Cth). You may opt-out of receiving marketing materials from us by contacting us using the details set out below or by using the opt-out facilities provided (such as the Unsubscribe Link);
  • to make bookings for you on your behalf, such as for sites, famils and other events where applicable;
  • to bill you and collect money where you are participating in our membership program;
  • to respond to communications from you, including complaints;
  • to conduct research and statistical analysis (on an anonymised basis);
  • to protect and/or enforce our legal rights and interests, including defending any claim; and
  • for any other purpose authorised by you or the Act.

Opting in and opting out:

Note that we may from time to time provide you with an ‘opt in’ or ‘opt out’ mechanism, subject to the requirements of the applicable privacy laws. An ‘opt in’ mechanism will provide you with the opportunity to positively indicate that you would like to or do not object to receiving communications and we will not send any unless you have ‘opted in.’ An ‘opt out’ mechanism will provide you with the opportunity to indicate that you do not want us to send further communications, and if you ‘opt out’ we will not send you any.

Anonymised information:
We may create anonymised data from your information and any anonymisation would be carried out in accordance with the applicable law and any applicable guidelines. Anonymisation may, for example, be achieved by aggregating data to the point that no individual can be identified and there is no change or re-identification. As long as there is no longer any personal information, neither the applicable law nor this Privacy Policy will apply.

Retention:
We retain information for the required statutory period, and where necessary, for an additional reasonable duration to support our business purposes. This retention is subject to valid opt-outs, withdrawal of consent (where the processing is based on consent), or other legitimate exercises of your rights.

Disclosing your personal information

We may disclose your personal information, only to the extent necessary for:

  • any business that supports our services and products, including any person that hosts or maintains any underlying IT system or data centre that we use to provide the website or other services and products;
  • other third parties (for anonymised statistical information);
  • a person who can require us to supply your personal information (e.g. a regulatory authority);
  • any other person authorised by the Act or another law (e.g. a law enforcement agency); and
  • any other person authorised by you.

A business that supports our services and products may be located outside of Tasmania, or Australia.  This may mean your personal information is held and processed outside Australia.

Protecting your personal information

We will take reasonable steps to keep your personal information safe from loss, unauthorised activity, or other misuse. Where your personal information is stored outside of Australia, or the European Economic Area. we will ensure that they have the equivalent level of safeguards in place to protect your information.

Accessing and correcting your personal information

You have the right to access your readily retrievable personal information that we hold and to request a correction to your personal information.  Before you exercise this right, we will need evidence to confirm that you are the individual to whom the personal information relates.

In respect of a request for correction, if we think the correction is reasonable and we are reasonably able to change the personal information, we will make the correction.  If we do not make the correction, we will take reasonable steps to note on the personal information that you requested the correction.

We may charge you our reasonable costs of providing to you copies of your personal information or correcting that information.

Are you based in the European Economic Area?
We will use our best endeavours to comply with the GDPR including its six core principles (‘6 Principles’) set out in Article 5 of the GDPR, which in summary are:

  1. Lawfulness, fairness and transparency: Information will be processed lawfully, fairly and in a transparent manner in relation to the data subject.
  2. Purpose limitation: Information will be collected for specified, explicit and legitimate purposes and not further processed in a manner that is incompatible with those purposes.
  3. Data minimisation: Information will be adequate, relevant and limited to what is necessary in relation to the purposes for which they are processed.
  4. Accuracy: Information will be accurate and, where necessary, kept up to date; every reasonable step must be taken to ensure that personal data that are inaccurate, having regard to the purposes for which they are processed, are erased or rectified without delay.
  5. Storage limitation: Information will be kept in a form which permits identification of data subjects for no longer than is necessary for the purposes for which the Information is processed.
  6. Integrity and confidentiality: Personal data shall be processed in a manner that ensures appropriate security of the personal data, including protection against unauthorised or unlawful processing and against accidental loss, destruction or damage, using appropriate technical or organisational measures.

As is also provided under the GDPR, you have the right to:

  • Access your information; to correct or rectify it;
  • Delete your information subject to applicable law;
  • Have your information processed only in accordance with applicable law;
  • Have copies of your information to be moved to another controller;
  • Object to our processing of your information otherwise than in accordance with the law; and
  • Withdraw any consent to processing your information at any time.

Internet use

While we take reasonable steps to maintain secure internet connections, if you provide us with personal information over the internet, the provision of that information is at your own risk.

If you follow a link on our website to another site, the owner of that site will have its own privacy policy relating to your personal information.  We suggest you review that site’s privacy policy before you provide personal information.

Log files and Cookies

This website utlises industry standard analytics packages which gathers limited information on visitors to our website automatically, and stores this anonymous information in server log files. This information may include IP addresses, browser type, basic IP information, referring pages, operating system used and date/time stamps. This information does not identify individual users; it is used only for site administrators, as well as for analysis of website usage and trends.

Additionally, cookies may be used to provide easier and faster access to website features such as logins and/or repeat visits. Cookies are very small text files that are stored on personal computers for reference purposes. We do not link the information we store in cookies to any personally identifiable information you have submitted while on our site.

We use both session ID cookies and persistent cookies. A session cookie expires when your browser is closed, and a persistent cookie may stay on your hard drive for an extended period. Session cookies make it easier for you to navigate our site; persistent cookies can perform such activities as storing your password for forums or blogs so you don’t have to sign in everytime you visit those areas, and/or may be used to enable us to track and target the interests of our users so as to enhance the overall experience of using out site.

We have no access to or administration abilities over any cookies that are used by any advertisers on our site.

Security

We follow accepted industry standards to protect any information you have provided to us. However, please be aware that no method of electronic storage can ever be 100% secure. Therefore – as is the case with any organisation – we are not in a position to guarantee the absolute security of your information.
